Planning a Black Hills Wedding Around the Sturgis Rally

If your date lands anywhere near early August, this is the one thing about the Black Hills nobody tells you until it is too late to move.

Every year we get a call from a couple who booked a beautiful Black Hills venue for the first Saturday in August, and then started looking for hotel rooms for their guests. That is the call where somebody finds out about the rally.

The Sturgis Motorcycle Rally runs about ten days in early August, usually starting the first Friday of the month. Check the official dates before you commit to anything, because they shift slightly year to year. What does not shift is the effect it has on the entire region, which is much larger than most people planning from out of state expect.

It is not just Sturgis

This is the part that catches people. The rally is named after Sturgis, but the crowd spreads across the whole Black Hills and beyond. Deadwood, Lead, Spearfish, Rapid City, Piedmont, Custer, Hill City, Keystone, and Belle Fourche all feel it. So does Gillette. If your venue is anywhere in western South Dakota during that window, you are planning a wedding inside a very large event that is already happening.

Three things change for you specifically:

  • Lodging. Rooms across the region book out well ahead and rates go up sharply. Your guests may not find anything within an hour of your venue, and the ones who do will pay several times the normal rate.
  • Venues. Many properties are either booked with rally business or have blacked out the window entirely. The ones that are open often price differently for it.
  • Roads. I-90 and the hill routes carry a lot more traffic than usual, and getting between your ceremony and your reception takes longer than the map says. So does getting a vendor truck anywhere.

What it sounds like

We should be honest about this part, because it is our job. Motorcycles are loud, and an outdoor ceremony near any through road during rally week is going to have that underneath it. There is no system that removes it. What we can do is place speakers so your vows sit clearly above the ambient level rather than competing with it, get a lavalier on your officiant instead of relying on a stand microphone, and talk with you about timing if your site is somewhere the traffic comes in waves.

If your ceremony is outdoors and near a road during rally week, tell us early. Placement solves most of it, but only if we know before the day rather than at four o'clock when we are setting up.

If you are keeping the date

Plenty of couples do, and some of them chose it on purpose. Family flies in, it is warm, and the region is alive in a way it never is in April. If that is you, a few things make it work:

  • Block hotel rooms much earlier than you otherwise would. A year out is not too early for this window.
  • Tell your guests what they are walking into. People who know to expect it enjoy it. People who find out at check-in do not.
  • Plan transport between your ceremony and reception rather than assuming everyone drives themselves. Parking is the constraint, not distance.
  • Give your vendors a longer load in window than they ask for. We build extra travel into rally week bookings as a matter of course.
  • Book everything sooner. Every good vendor in the region is either committed to rally work or booked with weddings by spring.

The weekends on either side

Late July and the second half of August are genuinely good. The weather is still summer, the region has emptied back out, and lodging is normal again. If your date is flexible and you were only looking at early August because it happened to be a Saturday, moving two weeks in either direction changes your whole planning experience and usually your budget.

The last two weekends of September and the first of October are the other sweet spot. Cooler evenings, the light is better for photos, and the tourist season has wound down. Those dates go early with couples who have planned here before.
